Stalen Design takes your privacy seriously. We therefore process only the data we need to provide and improve our services, and we handle the information we have collected about you and your use of our services with care. We never make your data available to third parties for commercial purposes.
This privacy policy applies to the use of the website and the services provided through it by Stalen Design. The effective date of these terms is 17-06-2026. Upon publication of a new version, all previous versions cease to apply. This privacy policy explains which data about you we collect, how that data is used, and with whom and under what conditions it may be shared with third parties. We also explain how we store your data, how we protect it against misuse, and what rights you have in relation to the personal data you have provided to us.

About data processing
Below you can read how we process your data, where we store or have it stored, which security techniques we use, and who has access to the data.
Webshop software
Our webshop has been developed using Shopify software. Personal data that you provide to us for the purpose of our services is shared with Shopify. Shopify has access to your data in order to provide us with technical support and is required to implement appropriate security measures. Shopify may share data within its own corporate group and with service providers it engages to the extent necessary to provide its services. Personal data may be processed outside the European Economic Area. Where this occurs, appropriate safeguards are applied in accordance with applicable privacy legislation.
Web hosting
We use web hosting and email services provided by MijnDomein. MijnDomein processes personal data on our behalf and does not use your data for its own purposes. MijnDomein may process technical and administrative data necessary to provide and secure its services. MijnDomein has implemented appropriate technical and organisational measures to prevent loss and unauthorised use of your personal data. MijnDomein is contractually bound to confidentiality.
Microsoft Clarity
We use Microsoft Clarity to gain insight into how visitors use our website and to improve the user experience, operation and content of our website. Microsoft Clarity may collect data about your interaction with our website, such as mouse movements, clicks, scrolling behaviour, pages visited, device data, browser information and technical data such as your IP address.
This data is processed by Microsoft. The collected data is used for analysis and optimisation purposes, for example through heatmaps and session recordings. Where possible, data is anonymised or pseudonymised and sensitive data, such as entered passwords or payment details, is not intentionally collected by us through Microsoft Clarity.
This service is only activated after you have given your consent through our cookie settings, where such consent is legally required. You can withdraw or change your consent at any time through the cookie settings on our website.
Email and mailing lists
For our business email communications, we use the services of MijnDomein and Shopify. These parties may process personal data insofar as this is necessary for sending, receiving and technically processing emails and messages from our webshop. Both parties have implemented appropriate technical and organisational measures to prevent misuse, loss and unauthorised use of data as far as possible. We treat all our email communications confidentially.
Payment processors
For handling all or part of the payments in our webshop, we use the Shopify Payments platform. Shopify Payments processes your name, address and place of residence, as well as your payment details such as your bank account or credit card number. Shopify Payments has implemented appropriate technical and organisational measures to protect your personal data. Shopify Payments reserves the right to use your data to further improve its services and, in that context, to share anonymised data with third parties. All safeguards mentioned above regarding the protection of your personal data also apply to those parts of Shopify Payments’ services for which third parties are engaged. Shopify Payments does not retain your data for longer than permitted under statutory retention periods.
Reviews
We collect reviews through the WebwinkelKeur platform. If you leave a review via WebwinkelKeur, you are required to provide your name and email address. WebwinkelKeur shares this data with us so that we can link the review to your order. WebwinkelKeur also publishes your name on its own website. In some cases, WebwinkelKeur may contact you to request further clarification about your review. If we invite you to leave a review, we share your name and email address with WebwinkelKeur. They use this data solely for the purpose of inviting you to leave a review. WebwinkelKeur has implemented appropriate technical and organisational measures to protect your personal data. WebwinkelKeur reserves the right to engage third parties in order to provide its services, for which we have given permission. All safeguards mentioned above regarding the protection of your personal data also apply to those parts of the service for which WebwinkelKeur engages third parties.
Electronic withdrawal requests via Revoq
To offer and process electronic withdrawal requests, we use Revoq, an application connected to our Shopify webshop.
When you use the electronic withdrawal form, we process the data necessary to handle your request. This may include your name, email address, order number, the relevant products, your withdrawal statement and the time at which you submitted the form.
We process this data in order to register your withdrawal request, link it to your order, send you a confirmation of receipt and administratively process the request. This processing is necessary to comply with our legal obligations and to carry out your withdrawal request.
Revoq processes this personal data on behalf of Stalen Design and solely for the purpose of providing this service. Agreements have been made with Revoq regarding the protection and processing of personal data. The data is not retained for longer than necessary to process the request and comply with applicable statutory retention obligations.
Shipping and logistics
PostNL
When you place an order with us, it is our responsibility to have your parcel delivered to you. We use the services of PostNL to carry out deliveries. For this purpose, it is necessary for us to share your name, address and place of residence with PostNL. PostNL uses this data solely for the purpose of performing the agreement. If PostNL engages subcontractors, PostNL will also make your data available to those parties.
DHL
When you place an order with us, it is our responsibility to have your parcel delivered to you. We use the services of DHL to carry out deliveries. For this purpose, it is necessary for us to share your name, address and place of residence with DHL. DHL uses this data solely for the purpose of performing the agreement. If DHL engages subcontractors, DHL will also make your data available to those parties.
GLS
When you place an order with us, it is our responsibility to have your parcel delivered to you. We use the services of GLS to carry out deliveries. For this purpose, it is necessary for us to share your name, address and place of residence with GLS. GLS uses this data solely for the purpose of performing the agreement. If GLS engages subcontractors, GLS will also make your data available to those parties.
Invoicing and accounting
For maintaining our administration and accounting records, we use the services of Jortt. We share your name, address and place of residence, as well as information about your order. This data is used for administering sales invoices. Your personal data is transmitted and stored securely. Jortt has implemented appropriate technical and organisational measures to protect your data against loss and unauthorised use. Jortt is bound to confidentiality, handles your data confidentially and does not use your personal data for purposes other than those described above.
External sales channels
We sell some of our products through the Bol.com platform. If you place an order through this platform, Bol.com shares your order details and personal data with us. We use this data to process your order. We handle your data confidentially and have implemented appropriate technical and organisational measures to protect it against loss and unauthorised use.
Purpose of data processing
General purpose of processing
We use your data solely for the purpose of providing our services. This means that the purpose of processing is always directly related to the assignment you provide to us. We do not use your data for targeted marketing. If you share data with us and we wish to use that data at a later stage to contact you other than at your request, we will explicitly ask for your consent. Your data is not shared with third parties except where this is necessary to comply with accounting and other administrative obligations. These third parties are all bound to confidentiality on the basis of the agreement between them and us, an oath or a statutory obligation.
Automatically collected data
Data collected automatically by our website, such as your IP address, browser type, device data and operating system, may constitute personal data. We process this data in order to secure our website, analyse use of the website and improve our services.
Cooperation with tax and criminal investigations
Stalen Design may be required by law to provide personal data to competent government authorities, for example in connection with a tax or criminal investigation. We provide only the data we are legally required to share and, where possible, limit this to what is necessary for the relevant request.
Retention periods
We retain your data for as long as you are a client of ours. This means that we retain your customer profile until you indicate that you no longer wish to use our services. If you inform us of this, we will also regard it as a request for erasure. This also means that we do not retain your data for longer than two years after the most recent contact or transaction, unless there is a legal basis requiring a longer retention period. Under applicable administrative obligations, we are required to retain invoices containing your personal data for as long as the applicable statutory period runs. Employees will, however, no longer have access to your customer profile and documents created in connection with your assignment.
Your rights
Under applicable Dutch and European legislation, you as a data subject have certain rights regarding personal data processed by or on behalf of us. Below we explain what these rights are and how you can exercise them. In principle, to prevent misuse, we send copies and extracts of your data only to the email address already known to us. If you wish to receive the data at a different email address or, for example, by post, we will ask you to verify your identity. We keep records of requests that have been handled. In the case of an erasure request, we record anonymised information. All copies and extracts of data are provided to you in the machine-readable data format used within our systems. You have the right at any time to lodge a complaint with the Dutch Data Protection Authority if you believe that we are using your personal data incorrectly.
Right of access
You always have the right to access the data that we process or have processed and that relates to you or can be traced back to you. You may submit such a request to our privacy contact person. You will receive a response to your request within 30 days. If your request is granted, we will send a copy of all data to the email address known to us, together with an overview of the processors that hold this data and the category under which we have stored the data.

You will receive a response within 30 days. If your request is granted, we will send a confirmation to the email address known to us stating that the data has been amended.

You always have the right to restrict the processing of data that we process or have processed and that relates to you or can be traced back to you. You may submit such a request to our privacy contact person. You will receive a response within 30 days. If your request is granted, we will send a confirmation to the email address known to us stating that the data will no longer be processed until you lift the restriction.
Right to data portability
You always have the right to have the data that we process or have processed and that relates to you or can be traced back to you transferred to another party. You may submit such a request to our privacy contact person. You will receive a response within 30 days. If your request is granted, we will send copies of all data about you that we have processed or that other processors or third parties have processed on our behalf to the email address known to us. In such a case, it is likely that we will no longer be able to continue providing our services, because the secure linking of data files can no longer be guaranteed.
Right to object and other rights
In certain situations, you have the right to object to the processing of your personal data by or on behalf of Stalen Design. If you object, we will immediately suspend the processing of your data pending handling of your objection. If your objection is well-founded, we will make copies or extracts of the data we process or have processed available to you and will then permanently cease processing. You also have the right not to be subject to automated individual decision-making or profiling. We do not process your data in a way that makes this right applicable.
